Membership Payment Policy

This Membership Payment Policy was adopted by the Committee Elect on the xx xx 2026. The record of this is formalised in the meeting minutes of the Committee Meeting of the xx xx 2026.
Annual Membership (compulsory)
When registering for an age group season training each year, an annual club membership registration fee is charged. This means you are a member of the club and covers all administrative costs across the year.
It must be paid in order for players to register for any age group training.
It is not required for Flippa Ball, Intro to waterpolo, Holiday programme or Carevic Cup.
2. Season age group training (compulsory)
Training fees are split across the two terms (3 terms for U12s) to lessen the financial burden. You only need to register via our website, using our Friendly Manager platform once for the season and will be charged the membership fee and first term payment. You will then be invoiced automatically in the last week of the term before for the following term.
The initial payment via the website can be paid by credit card or bank transfer if you wish to avoid the card fees. Following invoices need to be paid by bank transfer into the WWPC bank account.
Fees cover pool hire, coaching costs, Auckland Water Polo Affiliation Fee (for U14s upwards) and entry into the Auckland Water Polo League.
The season training fees enable you to attend all ‘season’ trainings and games, however excludes tournaments which are costed and invoiced separately depending on the location
Season training does not include any foundation, swim squad or additional programmes - these are to be registered and paid for separately.
3. Foundation age group training (optional participation – highly recommended)
Foundational water polo training for preparation and skill development for those who are available when an age group is not in season.
Foundational training is run per term and fees are invoiced at the time you register for the term.
Payment via the website can be paid by credit card or bank transfer if you wish to avoid the card fees.
Fees cover pool hire and coaching costs.
Signing up for foundation training each term doesn’t include your registration for your age group’s season training, swim squad or additional programmes -- these are to be registered and paid for separately.
4. Swim Squad trainings (optional participation – highly recommended)
Swim squad sessions tailored for water polo fitness for members only run all 4 terms.
Members must attend the sessions registered for, not alternate times offered.
Payment via the website can be paid by credit card or bank transfer if you wish to avoid the card fees.
Swim squad fees do not include any ‘season’ or ‘foundation training’ sessions - these are to be registered and paid for separately.
5. Tournaments (optional)
All age groups have optional tournaments they can attend. Fees are additional and cover tournament entry fee, coaching costs, travel and accommodation, depending on where they are based.
We will ask for Expression of Interests (EOI)’s for each tournament and a deposit will be required. The deposit and tournament total cost will depend on the location of the tournament
After the deposit is paid, the remaining fees will be invoiced in 1 installment for Auckland tournaments and 2-3 installments for out of Auckland tournaments, and need to be paid by bank transfer.
Final instalments will be due at least 3 weeks prior to the tournament.
All players term fees must be up to date i.e. no payments are owed to the Club, and players must pay the full tournament fee by the due date of at least 3 weeks prior to the tournament date, for the player to be eligible to play. Exceptions may be made if a payment plan has been agreed to. See Payment plans below.
Note: U12’s are required to travel with their parents to tournaments and arrange their own travel and accommodation.
6. Additional programmes (optional)
Any additional programmes offered are are all registered separately on our website and payment is required at the time of booking and can be paid by credit card or bank transfer if you wish to avoid the card fees.
You do not need to be a club member to join these programmes.
Note: all players wishing to play in a tournament must be registered with Water Polo NZ annually. This can be done here: New Zealand Water Polo for a small additional cost.
Playing up
Some players are invited to train and trial up an age group. There is a flat fee of $300 for players playing up a level. A training and trial fee of $50 is invoiced and due within 2 weeks. Following team selection if the player is chosen for a team the remaining fee ($250) for playing up is invoiced and due within 14 days.
For example, if a player plays up from U12 to U14, then they will pay the cost of U12s plus $300 for U14. This will be invoiced to you once your playing up is confirmed.
How payments are applied
Invoices state due dates, and are generally 14 days after the invoice issue date.
Card payments made through The website via our Friendly Manager platform are applied only to the specific invoice you’re paying - if you wish for a payment to be made against a certain child, programme or tournament please email treasurer@waitakwaterpolo.co.nz
Bank transfers to the Waitakere Water Polo account are applied to your oldest outstanding invoice first, even if you reference a particular invoice number. Meaning if you have older outstanding fees these will be paid before your newer fees.
Payment plans
We’re happy to offer payment plans to help spread the cost of fees over the term. Please contact us at treasurer@waitakwaterpolo.co.nz to let us know if you require this. Please note even with a payment plan our Friendly Manager system will still send an automatic reminder each month.
Plans must be agreed in writing. Email is sufficient.
Regular payments must be maintained. Set up automatic payments that suit your family's budget - weekly, fortnightly, or another schedule that works for you
Payments are allocated to your oldest outstanding invoice as they're received.
If an agreed plan is not followed, it may result in participation restrictions, including not being able to play
If you’re paying by instalments, we appreciate payments beginning as soon as possible after your invoice is issued, so that your balance is cleared by the end of the term.
Outstanding fees
If payments are overdue, we will send regular friendly reminders. If you would prefer to spread the cost of your fees, you are welcome to set up a weekly direct credit to gradually pay off your invoice over the term, if this makes managing the termly costs easier.
Ongoing non-payment may result in participation restrictions, including being unable to play.

FAQs
What if my child wants to only attend one training session rather than two - can I have a reduction in the season or term fees?
Unfortunately no. The Club has expensive overheads such as pool hireage costs and we charge by term.
If my child is away or injured, can I get a refund?
No - fees cover fixed term costs. Talk to your age group coordinator about exceptional circumstances.
What happens if I do not pay the fees by the due date?
If you have any concerns in relation to paying the fees please reach out to the Club Treasurer. Payment arrangements can be made. Payments must be paid in full or a payment plan be in place for members to be eligible to play in tournaments.
What if I register later in the year - do I need to pay the full registration fee of $100?
The club membership registration fee is calculated to cover the Clubs annual administration and additional costs such as coach development. This is budgeted annually. The full fee is required.
